Mill Race Policies and Procedures

Mill Race strives to provide a safe, productive and engaging work environment for its members. In light of this mission, we ask you to obey the following policies and procedures for working in our Mill Race facility. Failure to obey these policies and procedures can make our facilities dangerous or unwelcoming to others, and such actions on your part may result in your membership being terminated without notice. Please take them seriously. We reserve the right to change these policies and procedures as needed and with sufficient notice to members.

Access: Mill Race access begins on the first business day of paid subscription and ends the last business day of paid subscription. Mill Race is open during normal business hours. Other times will require key or fob access. Keys and fobs are not transferable and cannot be loaned to another person for use. Members and guests will abide by the building parking rules.


Individual and Shared Safety: In a shared and open facility like ours, it is possible for members to accidentally leave doors unlocked or create other unsafe situations for fellow members. Please obey all posted signs and literature pertaining to safe use of our facilities. Please feel open to approach and offer feedback to fellow members if you believe they are working unsafely, and please notify staff immediately if you believe a piece of equipment or infrastructure to be unsafe.

Liability: All members and guests are responsible for their own belongings and actions.

Respectful Behavior: In both in-person and electronic interactions, behave respectfully, courteously, and professionally to your fellow members. No discrimination, harassment, or hate speech shall be tolerated.

Courtesy of Individual Spaces: If you are licensing space from us, please keep your individual space relatively orderly. Do not enter any individual workspaces that are not yours without explicit permission.

Courtesy of Shared Spaces: Keep noise levels to a respectful minimum for the comfort and enjoyment of those in the immediate area. No loud music, excessive conversation or other noise will be permitted in the open work areas without the explicit permission of the members around you. Restore the shared spaces to be as clean as or cleaner than when you found them. This is an open office shared by different people. Expect anything said to be heard by others. Nondisclosure of other’s intellectual property is implicit in this space.
Presence: Inactivity and lack of physical presence at our community facility can be detrimental to our mission and prevent others from using the space. Please inform us of any extended absences or extenuating circumstances that might prevent you from attending. Otherwise, we expect members to make regular use of our facilities.

Guests: Non-member guests are permitted in Mill Race so long as they do not use Mill Race equipment or shared areas or interfere with other members. Guests and their actions are the sole responsibility of the host member. The member is requested to be physically present with the guest while the guest is in common areas. Guests may use the space during normal business hours.


Tolerance of Feedback: Please be open to constructive feedback from fellow members, especially as it pertains to safe use of our equipment and disrespectful communication or behavior.

Meeting, Board and Conference Room Usage: Meeting rooms are shared and often demand is high. Procedures, including assessing fees, may change from time to time to meet the overall goals of the Millrace community. Please use the online calendar to schedule. Release the space as soon as you can. Cancel promptly, if you find you don’t need the space. Tidy up after use.

Events: Events at Mill Race can be public or private. Events support the social purpose of Mill Race as well as attract potential members to enrich our community. The Events Manager coordinates all events and may arbitrate conflicting space requests. When food is served at events, please observe the following : The event’s sponsor is responsible for proper handling and serving of food. The kitchen space is not a commercial kitchen. Please do not prepare food there for a public event. Follow local city and state rules for preparing and serving food at public events. Alcohol is not permitted to be served at public events. If alcohol will be served at a private event, the sponsor is responsible for paying for and securing a banquet liquor permit prior to the event. The permit must be displayed in the area where the alcohol is being served. Please clean up the space after use. Pick up the trash. Clean debris from the floors. Vacuum the carpets. If food waste is in the trash, please dispose of trash in the outdoor dumpster. Please store left over food properly and leave a note indicating when it will be picked up or if is to be shared (else it may be scarfed up by other members).
